Comm’ant Process Templates: financial administration

No organization is – thank goodness – the same. This has to do with the culture, the people, and the circumstances in which they operate. Still, very often there are many similarities. For instance, every organization has to work with HR, ICT, and a financial administration. How companies organize these activities and processes differ widely. However, how you establish their interconnections, communicate about agreements and make them clear for everyone, that is where you can find one clear and unambiguous method. With our Process Templates we want to help you get started with doing just that.

We have helped many organizations with charting their processes and we very much enjoy sharing that elaborate experience (more than 15 years) with our customers. With the help of various end-to-end reference processes it becomes clear very quickly how you can organize your own business processes and process agreements. It is a source of inspiration. To make sure that you recognize your own organization in the Process Templates, we mostly choose often occuring supporting processes like HR, ICT, Quality Control/Assurance, Marketing and Finance.

The financial administration

No one will deny that having your administration in check is a necessity. It is the work of specialists that needs to run like Swiss clockwork, during which it is most important to detect any deviations as soon as possible. And, it needs to be immediately clear what the course of action is if any deviations occur.

In this example we present the monthly recurring cycle of the financial administration: from purchase invoices and sales invoices to payments and the period closing procedure.

The most important ambition during the development of the process: insight for everyone in the organization. Even for non-specialists, for example colleagues of a different department, because it is very useful to be able to see quickly how the financial administration is organized.

In short, we use clear terminology and reduce everything to the main structure. What do you need to perform your tasks (the input and systems) and what are you going to deliver ( the output), completed with important pre-requisites and conditions. The ‘how’, the specific details, is included in the attachments of the process. After all, that information is only necessary for the (new) employee and will be filled with his or her own craftsmanship.

The visual presentation immediatly shows some important elements. You acquire a direct overview of the order of the processes and the interdependencies between them.

Processing Purchase Invoices

If you zoom in on part of the process, in this case ‘Processing Purchase Invoices’, it instantly becomes clear which activities are necessary underneath, including the corresponding inputs and outputs.

It does not take much time to truly understand how it works.

One of many examples

The situation described above is only just an example. It is never possible to just copy-paste a process. You undoubtedly do it just a little bit different. And that is how it’s suppossed to be. That makes an organization unique, for you and for your customers.
